Overview

What is fulfillment

Fulfillment is the process that begins as soon as a raffle ends and a winner is drawn. It tracks the prize from the seller's hands to the winner's, and releases the seller's payout once delivery is confirmed. Sellers and winners can both follow progress and message each other on the fulfillment page.

For Sellers

What sellers need to do

Once your raffle ends, a fulfillment order is created automatically. Open it from the Fulfillments page and walk through the following steps.

Mark as preparing Tell the winner you have started preparing the prize. This is the first signal that you are on it.
Ready for pickup or dispatched If the winner is collecting in person, mark the prize as ready for pickup. Otherwise upload proof of postage and mark it as dispatched.
Use insured tracked delivery You are fulfilling the prize on behalf of the platform and are responsible for it until delivery. Use a tracked, insured service. See the shipping and insurance guide for what we recommend.
Wait for confirmation The winner confirms receipt on the fulfillment page. You will be notified the moment they do.
Get paid Once delivery is confirmed, your payout is queued automatically. Payouts run weekly to your verified bank account.

For Winners

What winners need to do

When you win a raffle, the fulfillment order appears on your Fulfillments page. Here is what to expect.

Get notified You will receive an email when the seller marks the prize as preparing, ready for pickup, or dispatched.
Receive the prize Collect or accept delivery. Inspect the prize before confirming.
Confirm delivery Open the fulfillment page and confirm receipt. This releases the seller's payout, so only confirm once you are happy with what you received.
Open a dispute If something is wrong, open a dispute from the fulfillment page instead of confirming. An administrator will review and resolve it.

Automatic Safety Nets

What happens if delivery stalls

If a fulfillment order goes quiet, the platform steps in automatically so nobody is left waiting forever.

Day 14 Reminder sent to both seller and winner if delivery is not yet confirmed
Day 28 Final reminder sent. Time is running out for the seller to act
Day 30 Auto-dispute triggered. The fulfillment is paused for admin review
Resolution Admin resolves the dispute. The seller is paid out, or the winner is compensated from the ticket pot

If You Cannot Fulfill

Cancelling a fulfillment

If for any reason you cannot deliver the prize, you can cancel the fulfillment from the fulfillment page. There is no penalty for cancelling, but you will not receive a payout.

Cancel from the fulfillment page Open the fulfillment order, click cancel, and explain the reason. The winner sees this immediately.
Winner gets compensated The winner automatically receives cash compensation from the ticket pot. They keep the value, you keep the item.

Pro Tip

Use the comments to keep a clear paper trail

Every fulfillment order has a comments section. Use it to share tracking numbers, delivery photos, collection times, and anything else that proves what happened. If a dispute is opened later, this is the evidence an admin will rely on.
