Protecting your prize delivery

As a seller, you fulfil prizes on behalf of the platform and are responsible for safe delivery to the winner. Here is how to make sure it gets there safely.

Your Responsibility

You are responsible until delivery

When your raffle completes and a winner is drawn, the prize is your responsibility until it is successfully delivered or collected. If something goes wrong in transit and you do not have adequate cover, you bear the cost.

Insurance is not optional Our terms require you to ensure appropriate insurance coverage. Without it, you bear the full cost of any loss or damage.
Proof matters Always keep proof of postage, tracking numbers, and insurance documentation. You may need these if a dispute is opened.

Royal Mail Special Delivery

For most prizes, Royal Mail Special Delivery Guaranteed is the best option. It includes tracking, a signature on delivery, and built-in compensation cover up to £2,500.

Compensation up to £2,500 You can choose compensation tiers up to £750 or up to £2,500 depending on your item's value. This covers the market value of the item if it is lost or damaged.
What compensation covers Royal Mail compensates the actual cost to replace the item, not its retail or sentimental value. For raffle prizes, this means the item's market value up to the tier you selected.
Tracking and signature Both services include end-to-end tracking and require the recipient to sign on delivery, giving you clear proof the item arrived.

Alternatives

Other tracked services

Other delivery services are available but most offer significantly lower compensation limits. Be aware of the gaps before choosing one.

Royal Mail Tracked 24/48 Offers tracking and delivery confirmation but compensation is limited to just £20. Not suitable for anything of real value.
Couriers (DPD, Evri, etc.) Standard courier services typically offer low default compensation, often £20 to £50. Some offer optional enhanced cover at extra cost.
Check the small print Always verify the compensation limit before sending. If the cover does not match the prize value, you are personally exposed for the difference.

High-Value Items

Independent parcel insurance

For prizes worth more than Royal Mail's £2,500 compensation limit, or if you want broader coverage, third-party parcel insurance providers can fill the gap.

Third-party providers Companies like Parcelforce, Interparcel, and specialist insurers offer standalone parcel insurance for high-value shipments.
Cover above Royal Mail limits If your prize is worth more than £2,500, independent insurance is the only way to fully protect yourself against loss or damage in transit.
Keep your documentation Save your policy details, proof of value, and any correspondence. You will need these to make a claim or resolve a dispute.

In-Person Handover

Collection and pickup

If the winner is collecting the prize in person, insurance is not required but you still need to protect yourself with clear evidence of the handover.

Photo and video proof Take photos or a short video of the prize being handed over. This is your primary evidence if a dispute arises.
Both parties sign off Have the winner confirm receipt in the fulfillment page on the platform. A written acknowledgement at the point of handover also helps.
Use the comments Add a comment to the fulfillment order confirming the collection took place, including the date, time, and any notes.
